What is AI agent integration? (And where it breaks)

AI agent integration is what lets an agent work inside your inbox, your spreadsheet, or your customer records instead of only talking about them. Every connection carries one specific permission, like read new mail or send mail. Which permissions you hand over matters more than how many apps you connect.

What "connected" actually means

Connecting an agent to an app involves two decisions, and most people only make the first. Decision one is which app. Decision two is what the agent may do once it is inside. Google splits Gmail access into separate permission levels: one lets an agent "view your email messages and settings", another only lets it "send email on your behalf", and a third exposes labels and headers but never the body of a message. Same inbox, three very different agents.

More connections make an agent worse

Every extra connection is another choice the agent has to get right, and the odds drop as the list grows. One builder who hooked up roughly 100 tools reported the agent picking the wrong one a lot of the time, and getting noticeably worse with each addition. Another put the fall-off after the first few dozen. Zapier lists 10,036 apps you could connect. That number is a menu, not a target.

Start narrow and widen slowly

Pick one job that repeats every week: sorting incoming mail, updating a customer record after a call, chasing an unpaid invoice. Give the agent only the two or three connections that job needs, at the narrowest permission that works. Reading before writing, drafts before sends. Keep anything that sends, pays, or deletes behind your sign-off. Widen access after the agent has done the job right several times, not on the day you set it up.
