Marketing automation vs CRM: which does your team buy first?
A CRM is the list of people a team sells to, plus the stage each deal is at. Marketing automation acts on that same list in bulk, sending based on what someone clicked and scoring who is worth a call. Most teams end up paying for both, and they charge differently: CRM by the person, marketing automation by the contact stored.
Marketing automation vs CRM at a glance
Both systems store the same list of people, which is why the second invoice looks like a duplicate charge. The real split is who touches a record: one rep working one relationship, or one person sending to 10,000 at once.
| Aspect | CRM | Marketing automation |
|---|---|---|
| Holds | contacts, deals, the stage each deal sits at | segments, campaigns, lead scores |
| Who opens it daily | every rep on the team | 1 or 2 people in marketing |
| Billed by | seats, meaning people | contacts stored, even ones nobody emails |
| Goes wrong when | reps stop logging what happened | duplicate records split one history and scores go junk |
When a CRM is enough
Buy the CRM first. It answers the question a small team asks every week: where did this deal stall, and who spoke to them last. The free HubSpot plan covers 1,000 contacts and 2 users, so deals can move off a spreadsheet before anyone signs a purchase order.
When marketing automation earns its price
Marketing automation pays off once one named person owns the list. It sends based on what someone clicked and scores who is worth a call. Budget it by database size, not headcount. HubSpot Marketing Hub Professional is $800 a month for 2,000 marketing contacts plus a one-time $3,000 onboarding fee, and going a single contact over the tier moves the whole account up a tier. Flagging people as non-marketing does not rescue the current bill, because that change only lands on the next billing update date.
How to choose
Pick the CRM if deals live in a spreadsheet and nobody can say what stage they are at. Add marketing automation once someone owns the list and the team runs more than a couple of campaigns a month. Buy both from one vendor where possible, since the sync between two vendors is where duplicate contacts and broken scores start.
