What is legal workflow automation?
Legal workflow automation is a set of if-this-then-that rules that carry a matter forward without anyone remembering to push it. Someone fills out an intake form, so a file opens and a conflict check runs. A hearing gets set, so every dependent deadline lands on the calendar. An engagement is approved, so the letter builds itself from a template and goes to a partner to sign off. Same steps the firm already does, run the same way every time.
What gets automated, in order of payoff
Three groups. Intake and matter setup. Documents built from templates that show or hide clauses based on the answers someone typed. Dates calculated from court rules and pushed to a calendar.
Most teams start with documents, because drafting hurts most. Thomson Reuters research puts drafting at 40% to 60% of a lawyer's time, and firms that templated their high-volume documents report up to 82% less time on them. Dates deserve to go first anyway. The ABA's 2016-2019 malpractice study found administrative errors and client relations behind over a third of claims, and the standard administrative error is a deadline nobody wrote down.
What makes it stick
Automation repeats whatever process it copies, mess included. Two things decide whether it survives the quarter. One person has to own the templates, or attorneys keep private copies and a previous client's name turns up in a new agreement. And what the team is measured on has to move with it: in Clio's 2025 survey, 20% of heavy AI users reported trouble hitting billable targets and 45% changed their pricing. Start with intake replies and one high-volume document, name the owner, and leave the judgement work with the lawyers.
